This document establishes the legally binding rental agreement, safety policies, and liability protections for all equipment rented from HPT Rentals.

1.Rental Agreement
This Rental Agreement is entered into between HPT Rentals (“Company”) and the renting party (“Customer”).
All rental items remain the sole property of HPT Rentals. Acceptance of delivery constitutes agreement to all terms.
2.Payment Terms
A minimum $100 deposit is required. Full payment is due prior to delivery unless otherwise agreed. Booking on the website is a deposit, not a full payment. You will be contacted by an event specialist shortly after booking to assess delivery and logistics fees.
Accepted payment methods may include credit card, debit card, or approved electronic payment methods.
3.Delivery and Setup
Delivery/setup fees apply. Customer must provide safe access. Additional fees may apply for delays or access issues.
4.Equipment Responsibility
Customer is responsible for all equipment during the rental period and must return it in original condition. Repair or replacement costs may be charged to the payment method on file.
5.Damage, Loss, or Theft
Customer is responsible for replacement or repair costs for damaged, lost, or stolen equipment. Repair or replacement costs may be charged to the payment method on file.
6.Tent Staking Liability Waiver
Customer must disclose all underground utilities. Failure to do so releases HPT Rentals from liability for damage caused by staking.
7.Utility Locate Requirement
Customers are responsible for contacting Georgia 811 (Call Before You Dig) prior to
tent installation if staking will be required. (It's Free)
8.Surface Damage Clause
HPT Rentals is not responsible for minor surface damage to grass, landscaping, or pavement caused by standard setup.
9.Weather & Wind Safety
Tents are temporary structures and may be affected by wind, rain, or severe weather.
Customers accept the risks associated with outdoor events and agree that HPT Rentals is not responsible for weather-related damages or injuries.
10. Safety Rules
No climbing or misuse of equipment is allowed. Violations may result in liability.
The following are prohibited near/under tents unless approved by HPT Rentals in writing:

Fire pits

Fireworks
-
Grills under tents
-
Open flames near tent fabric

All forms of smoking
Improper use of fire or heat sources may damage equipment and create safety hazards.
11. Cleaning Fees
Excessively dirty equipment may incur cleaning charges.
12. Cancellation Policy
Cancellations must be submitted in writing.
Refund eligibility:
More than 14 days before event
Full refund minus processing fees
7–14 days before event
50% refund
Less than 7 days before event
No refund
Deposits may be non-refundable depending on cancellation timing.
13. Force Majeure
HPT Rentals shall not be held liable for failure or delay in performance due to events beyond its reasonable control, including but not limited to acts of God, severe weather, natural disasters, fire, government restrictions, labor disputes, transportation disruptions, pandemics, or other unforeseen events. In such cases, HPT Rentals reserves the right to cancel, delay, or modify services without liability. Refunds or credits may be issued at the discretion of the Company.
14. Limitation of Liability
The Customer agrees to indemnify and hold harmless HPT Rentals and its employees from
any claims, damages, or liabilities arising from the use of rental equipment.
15. Indemnification
Customer agrees to indemnify and hold harmless HPT Rentals from any claims related to equipment use.
16. Privacy Policy
HPT Rentals values the privacy of our customers and is committed to protecting personal information.
We may collect information such as name, phone number, email address, credit card number, billing address, and event location for the purpose of processing bookings, communicating with customers, and delivering rental equipment.
Customer information may be shared with secure payment processors or service providers only when necessary to complete transactions or operate our services. HPT Rentals does not sell or rent customer personal information.
17. Rental Period
The rental period begins at the time of delivery or pickup and ends when equipment is returned or collected by HPT Rentals.
Late returns or delayed pickup caused by the Customer may result in additional rental charges.
Equipment must be accessible and ready for pickup at the scheduled time.
